Approvals
Nothing gets built that the client has not approved a price for.
The subcontractor’s estimate comes first, before any price goes to the client. The project manager prices those items and sends them over, and only once the client approves can the sub start. Because the sub’s number is already known when the client price is set, your margin is chosen deliberately — not discovered at the end of the job.
And change orders run the same loop.
Work found mid-job does not simply get done and invoiced later. It becomes a change order and goes back through the same three steps: the sub prices it, the manager prices it for the client, the client approves it. No addition passes unnoticed, and none of it is performed against a number nobody agreed to.
The one place margin can still narrow is a discount you grant the client on a change order. That is a decision rather than an accident — and the platform nets it out of the order’s earned profit instead of burying it, so if a concession takes the order past its margin it says Loss in plain sight.

Log the loss with its address, type and dates. The address is geocoded so anyone dispatched can find it, and the project gets a code the whole team can reference.

Walk the property with your phone. Capture rooms, photos and floor plans, and add the work that needs doing while you are standing in front of it.

Turn the scope into an estimate against your price list, apply markup and overhead until the margin is where you want it, then open it in the PandaDoc editor and send it for signature.

The client signs in PandaDoc — or in the app, if they already have an account — and the result lands back on the job. The signature is stored with its timestamp and originating IP address.

The project money sheet reserves overhead, profit and tax off the top and reports them as their own figure, then weighs earned margin against what you budgeted to your subcontractors. Any order where you billed less than the sub costs flips to a red Loss card, so you find out while you can still do something about it.
Yes. You invite them into your company with the Subcontractor role, then add them to the specific projects they are working on. The role is what limits the view: they see the orders assigned to them, submit their own executor estimate for your approval, and attach photos and reports — with no visibility into your company-wide financials or the projects they are not on.
Usually through PandaDoc. You open the estimate or document in the PandaDoc editor, adjust anything that needs adjusting, and send it out for signature; the signed result comes back onto the job on its own. If the client already has an account, you can instead send an in-app signature request. Either way the signature is stored with its timestamp and originating IP address as evidence of who agreed to what, and when.
The mobile app is built for job sites — phone-first layouts, high-contrast text for outdoor light, and large touch targets for gloved hands. It needs a connection to sync with your team, so we recommend confirming coverage on the properties you work.
The projects, estimates, orders and signed documents belong to your company. Individual users can request account deletion from inside the app, which anonymizes personal data after a 7-day grace period while leaving company business records intact. The Privacy Policy sets this out in full.
